REVIEWING ADDRESSES BY TYPE IN BANNER HR™

The following information is provided to assist Banner HR™ users to locate and review addresses by type.  The Banner™ system supports a number of different address types.  In the Banner HR™ product, two address types are of primary importance.  One is the WP Address type which is the correct home address for purposes of mailing the W-2 statement and for official communications of the University to home addresses.  The other is the WK Address which is the work address (the building and room number, campus name, street address, city, state, ZIP, and telephone number where the employee works).

An individual may review address types in Banner HR™ in one of three ways: (1) they may have viewing privileges themselves for the budgetary organization (ORG) to which they are assigned and may review their own address type; (2) they may contact Human Resource Services at 304.696.6455 or human-resources@marshall.edu and ask the HR Services staff to check an address; or (3) they may contact an individual who is enrolled for the Banner™ View Process and authorized to view the budgetary organization (ORG) to which the employee is assigned.  Enrolled persons typically include those employees who prepare and review personnel actions such as Deans, Directors, Program Chairs, and their supporting employees.

Employees and those enrolled for the View Process are encouraged to review addresses and notify Human Resource Services if for any reason the PR Address or WK Address are not recorded or if either contains an error.  The Payroll Office should be contacted for adding or correcting a PR Address.  Human Resource Services is responsible for adding or correcting WK Addresses.  The Human Resource Services web site contains an informational article and on-line form that an employee or their supporting personnel can use to provide information to add or correct a WK Address.  The informational article with a link to the on-line form may be reached by clicking HERE.  (Please note that this page is outside the HRIS web site and does not contain a link back to the page you are now viewing.  Use the "back" button in the web browser to return to this page as necessary.)

The tutorial below is built around locating and reviewing a WK Address.  It assumes that the individual reviewing the address type is authorized to query Banner HR™ form PPAIDEN, the identification form, and is authorized to view records in the employee's budgetary organization (ORG).  

Assuming the Banner HR™ desktop is open on the user's PC, type in PPAIDEN, the form name for the Identification Form, into the Direct Access window as illustrated at A below.  After that, hit the enter key.
 


When the PPAIDEN opening screen appears, either enter the employee's Social Security number at B in the illustration below.  If the individual's Social Security number is not known, the employee may be located through the search tool opened by clicking the flashlight symbol at C below.
 


After the flashlight symbol is clicked, the Option List, illustrated below, will appear.  Place the cursor in and click on Person Search as shown at D in the illustration below.
 


The Person Search Form, form SOAIDEN, will open as illustrated below.  Place the cursor in the top row field captioned Last Name as located at E below.  Type in the last name of the desired employee followed by a percent sign (see the entry of the last name Doe in the illustration below).  PLEASE NOTE THAT THIS SEARCH PROCESS IS CASE SENSITIVE.  IN THE EXAMPLE BELOW, "Doe" IS NOT THE SAME AS "doe."  After this is entered, click the F8 key on the top row of the keyboard.
 


Potentially several records with last name Doe (or names beginning with Doe) will appear.  Scroll up or down as necessary to locate the correct desired record.  Place the cursor in the field captioned ID for the desired record as illustrated at G below.  Hit the enter key.  This screen will close and the employee name will appear in a PPAIDEN record.  (For simplification, the illustration below only shows one record returned.  In most cases, this search will return multiple records.)
 


Hold down the Control key and the Page Down (PgDn) key at the same time.  This will cause the lower portion of the PPAIDEN record to populate with data.  Note the navigational links in the left-hand column.  Select and click Address Information as located at H in the illustration below.
 


The address records, if any, associated with that employee's records will appear.  The address records behave as if they are stacked one on top of the other.  Only the topmost address record saved in that PPAIDEN record will initially appear.  If multiple addresses are recorded, the scroller on the right margin of the address block will be moveable.  With the cursor at in the illustration below, the user can slide it up or down to reveal other address records above or below the one on screen.  Attempt to locate a WK Address.  It will be indicated by the code WK in the upper left-hand corner of the address block, as illustrated at below.  If a WK Address is saved for this employee, review it for accuracy.  If a WK Address record is not saved, and the employee is in active status, obtain the necessary information to produce the WK Address.  This can be accomplished by the use of the on-line form available on the Human Resource Services web site at clicking HERE.  (Please note that this page is outside the HRIS web site and does not contain a link back to the page you are now viewing.  Use the "back" button in the web browser to return to this page as necessary.)  Please note that address records in Banner HR™ are effective dated.  If a new address needs to be added it will be made effective the date it is entered into the system unless the requesting person provides information that it should be a different date.
 

The WK Address type has particular characteristics.  The first line of the address is always the room number and building, the second line is always a consistent rendering of the campus location (these are available as choices on the WK Address on-line form referred to above), the third line is the house number and street.  Note that the name of the office the employee works in does not appear in the WK Address.  Anytime that office addresses are extracted for such purposes as telephone directories, the name of the office is obtained from the budgetary organization (ORG) to which the person is assigned (for example, ORG 1065 is Human Resource Services).
