POLICY AND PROCEDURE

Policy/Procedure No. 135
Subject: Direct Deposit
Effective Date: 07/01/03
Revised Date: N/A

The default method for payment of wages/salaries at Marshall University is Direct Deposit.  Direct Deposit has proven to be a safe and reliable method for depositing net pay into an employee's checking or savings account.  Net pay can be split between up to five deposits in up to as many different banking institutions.  The employee receives a statement on payday that shows the net amount deposited along with deduction information.

Marshall University will provide a negotiable paycheck (not Direct Deposit) only in the following situations:

  • For a two-month period when a new employee has newly joined the university, has relocated from another area, and has not yet established a local checking or savings account.

  • For an indefinite period when an employee completes an affidavit stating that they do not have a checking or savings account and thus have no account location to which pay may be remitted.

  • For an indefinite period with specific written permission from the Senior Vice President for Finance or his designee.

The above waivers are exceptions that must be requested by completing and submitting the form titled Direct Deposit Exception Form available by clicking HERE.

If an employee does not seek such exception, he/she must submit within the first week of employment to the Office of Payroll and Sponsored Programs in 205 Old Main a completed Direct Deposit Authorization Form (available from that office) and a check from their account across which the employee has prominently written in ink the word VOID.  A deposit ticket can be used similarly if a saving account is used.  Such check or deposit ticket must include the complete institutional routing number and the employee's account number for the account to which net pay should be deposited.

For information or assistance with this policy and procedure, please contact Sharon Rutherford, Director of Payroll/Sponsored Programs, phone 304.696.2208, e-mail rutherfo@marshall.edu.
