Subject: Comments Attached to Employee Records

The Human Resources Information System (HRIS) provides the capability to attach either open comments or coded comments to employee records.  An open comments allows the addition of information relevant to the employee's record.  A coded comment provides an identifying code that has a particular meaning.  A brief optional written comment which can vary from record to record can also be added with a coded comment.  An example of a coded comment might be one that reflects a code indicating participation in a training and development workshop.  The optional written comment attached to that coded comment might indicate which specific workshop the individual attended.

The Comment Form (Banner HR form PPACMNT) is used to add comments to employee records.  Coded comment types are edited/added/deleted in the Comment Code Validation Table (Banner HR form PTVCMTY).  Directions for use of the Comment Form including views of the form are provided under HRIS Processes [to be added].

Coded comment types are created and edited by Human Resource Services.  Only designated staff members in Human Resource Services and Institutional Research have update privileges for the Comment Form.  Query privileges to view comments are provided to persons who have view privileges for their responsible budget organization.  If individuals wish to have a comment added, edited, or deleted from the record of an employee for whom they are responsible, they should contact Human Resource Services at 304.696.6455 or by e-mail to human-resources@marshall.edu.

Comments are typically neutral or positive in nature.  Negative comments should not be added to an employee record without the knowledge of the affected employee.  Employees may review comments attached to their own records by contacting an individual with view privileges for the employee's budgetary organization or by contacting Human Resource Services.
