VIEW EMPLOYEES, POSITIONS, AND JOBS

WHAT IS THE VIEW EMPLOYEES, POSITIONS, AND JOBS PROCESS?

Vice Presidents, Deans and Directors and those persons they authorize may view employees, positions, and jobs in Banner HR for budget organizations (ORGs) for which they have responsibility.  These view privileges are important for several reasons:

  • These views allow authorized individuals in the various departments to get information about their employees, positions, and jobs directly from the Banner HR desktop, providing faster answers to questions.

  • The Banner HR Electronic Personnel Action Form (EPAF), now under development, will affect fields in two of the forms in this view bundle: PEAEMPL, the Employee Form, and NBAJOBS, the Employee Jobs Form.  Banner HR users should become familiar with the content of these two forms so they understand how an EPAF will affect data in these.

  • While we continue to use the paper Personnel Action Request (PAR), these views enable PAR users to provide correct information consistent with what is presently stored in the Banner system, reducing returned PARs.

  • Users can spot errors in the information stored in these forms and request corrections.

The view provides query access only to a set of relevant forms.  Users do not edit or change records directly through this view process.  Changes to records are handled with PARs, EPAFs, or contacts with supporting offices such as the Budget Office, Human Resource Services, or the Payroll Office.

Banner HR provides organization-level security (org-level security).  This means that persons are authorized to see records only for the organizations that are their management or budgetary responsibility.  Persons enrolled for this view bundle will have privileges set to view the correct "org" or set of "orgs."

WHAT FORMS MAY BE VIEWED IN THIS PROCESS?

The view bundle contains the following three major employment-related forms:

PEAEMPL, the Employee Form.
NBAPOSN, the Position Definition Form.
NBAJOBS, the Employee Jobs Form (that serves to join an "employee" to a "position" in what Banner refers to as a "job").

The Banner HR Electronic Personnel Action Form (EPAF) that will be phased in during calendar 2001 only operates on forms PEAEMPL and NBAJOBS.  Therefore, persons using this view bundle will be able to review these two records for accuracy and make certain changes through the submission of an EPAF.  Until replaced by the EPAF for a particular type of employment action, the paper Personnel Action Request (PAR) will accomplish the same purpose.

In addition the view bundle contains the following forms:

PPAIDEN, the Identification Form.
NBIJLST, the Employee Job Inquiry Form (locates the position to which a person is assigned for a job).
PTRJBLN, the Job Location Rule Form (lists the official addresses of the major campuses).
PTRECLS, the Employee Class Rule Form (lists the broad categories of employment into which persons are appointed, such as F9, Nine-Month Faculty, CN, Classified Staff Non-Exempt, etc.).  Click HERE for more information on E-class's.
NTRPCLS, the Position Class Rule Form (lists the specific job titles used for employment appointments, such as F0200, Assistant Professor; C3109, Accountant; or N0170, Assistant Director.)
FTVORGN, the Organization Code Validation Form, a Finance-owned form that lists the various budget organizations used at the University.
SPAINTL, the International Information Form, a form owned by the Center for International Programs to which access is provided for the HRIS for the storage of information on the receipt of the INS Form I-9.
POIIDEN, the Employee Search Form (allows users to query for names and Social Security numbers of employees).  POIIDEN is automatically called when searching in PPAIDEN or PEAEMPL, but it can be directly accessed by itself as necessary.

HOW DO INDIVIDUALS ENROLL FOR THIS VIEW BUNDLE?

Persons wishing to enroll for this view bundle should do the following:

If the individual has never used the Banner desktop for any module (HR, Finance, Student, etc.), they must establish an MUINFO account.  An MUINFO account is requested by completing and submitting the MUINFO Account Request Form.

Scroll down to and select MUINFO Account Request Form.  Print out this form, fill it out, get the necessary signatures, and submit it to Computing Services on the fourth floor of the Drinko Library.

Persons who have already used another Banner HR module at Marshall University (such as Finance, Student, etc.) already have an MUINFO account and do not need to complete this form.

After an MUINFO account is established, individuals wishing to enroll for this view bundle should click in the URL below to download the Banner HR Privileges Request Form.

Complete the form, obtain the necessary signatures and submit it to Computing Services on the fourth floor of Drinko Library.

Note that "VIEW EMPLOYEES, POSITIONS, AND JOBS" is the only process presently available on this form.  Later on, after the EPAF is implemented, this same form will be modified to allow persons to enroll to originate, review, and/or approve EPAFs.  Also note that it is necessary that persons indicate the budget organizations ("orgs") for which they have responsibility.  For some users, this may be only one org.  For others it may be an extensive list.  If more space is required to list all the orgs for which view privileges are requested, an additional sheet can be attached to the form.

After the form is processed by Computing Services, they will send it to Human Resource Services who will set up the username and org privileges for the individuals.

IS TRAINING NECESSARY TO USE THIS VIEW BUNDLE?

Persons who have not used Banner for another module must participate in navigation training before attempting to use the Banner HR desktop.  Persons who have already used Banner for another module will not have to participate in navigation training.  Computing Services provides navigation training.  The schedule of dates and times for navigation training is listed on the Human Resource Services Training and Development Course Calendar by clicking

After locating information about available courses, individuals may register online by clicking the link to the Course Registration Page that appears at the bottom of the Course Calendar page.

Persons who have already used Banner for another module will be familiar with forms navigation and querying.  Forms may be called by directly typing in the form name, or the forms may be located by clicking the Products Menu on the left-hand side of the Banner HR opening screen.  Once the Products Menu is expanded, the Human Resources System Menu may be clicked to open it.  After that, persons may navigate to processes and functions for which they have been extended privileges.
