Running DNS411 

A Population Selection must be run in Banner to select all persons who meet your criteria for the report DNS411 "Contact Info with HRS, GPA, AS".  There are two Population Selections that you can use.  One is named REGISTERED_BY_COLLEGE which selects all students in your college who are registered for the variable term you enter.  The second one is named COLLEGE_BY_MAJOR which selects all students in your college by major who are registered for the variable term you enter.  To run the Population Selection, go to Banner form GJAPCTL and then enter GLBDATA "Population Selection Extract" (or key in GLBDATA in the Direct Access box). 

Perform a Next Block function and enter DATABASE in the Printer field, then perform another Next Block function to enter the Parameter Values (all in capital letters):

01.   Selection Identifier 1:  Enter the name of your Population Selection:  REGISTERED_BY_COLLEGE          or COLLEGE_BY_MAJOR

02.   Selection Identifier 2:  Leave blank

03.   New Selection Identifier:  Leave blank

04.   Description for new selection:  Leave blank 

05.   Union/Intersection/Minus:  Leave blank

06.   Application Code: Enter the Application Code for your Population Selection:  GENERAL

07.   Creator ID of Selection ID: Enter the Creator ID for your Population Selection:  MARSHALL

08.   Detail Execution Report: I

Perform a Next Block function to go to the Submission block.  Click on the "Save Parameter Set as" box and be sure that the radio button Submit is checked.  Then click the Save icon.  You will be prompted to enter variables for the term code and your college code or the major code.

The first step in the process is now complete as you have selected the persons to be included in your report.  Now you are going to extract the data elements for your report.

 

Perform a Rollback function to enter DNS411 in the Process box.  Perform a Next Block function and enter DATABASE in the Printer field, then perform another Next Block function and enter the appropriate Parameter Values for DNS411 (all in capital letters):

01.  Term:  Enter the current term code

02.   Population Selection ID:  Enter the name of your Population Selection:  REGISTERED_BY_COLLEGE     or COLLEGE_BY_MAJOR

03.   Username of Population Select:  Enter your username
 

Perform a Next Block function to go to the Submission Block.  Click on “Save Parameter Set as” and be sure that the Radio button “Submit” is clicked.  Then click on the Save icon.  Clicking on the “Save Parameters” checkbox will save your parameters so that you don’t have to enter all data the next time you run the report, only needed changes in values.  When you click on the Save icon, you will receive the following message:

Click on the "OK" button, and then you will receive a Sequence Number at the bottom of the form.  Write this number down so that you have it in case there is a problem with the job you are running.

 

Click on the “Review Output [GJIREVO]” option on the Options Menu to see the output.  The Process is the name of your job, and the Number is the Sequence Number assigned to the job you are running.  Double-click in the Number field to display all of the jobs by that name that you have run (see example below for output from DNS411); click on the .lis file that matches the Sequence Number of the job you have just run and then click the OK button.

Your file will be displayed as follows:

To Save the Output, click on "Show Document (Save and Print File)" on the Options Menu.  You will receive the following message:

Click "Yes".  Your file will display in a Web browser.  Click on the "File" pull-down menu in the browser, then click on "Save As...." to save the file on your PC.  If you are unable to view your file or save it, check to see if you have a pop-up blocker in Internet Explorer on your machine.  If so, you must set your browser to allow pop-up's.  If allowing pop-up's doesn't let you continue, hold down the "CTRL" key and click "Yes" at the same time.  Once you have saved the output to your PC, you can open it in Word or Excel.
 

NOTE:

Some jobs may take a few minutes to run so you won’t see the output immediately.  If the job has not completed, when you attempt to Review Output by double-clicking in the Number field, the following message will appear:

                                                

                                                   

This generally means that the job has not completed; click "OK" and wait a few minutes before attempting to review and save the output.  If, after a considerable amount of time has passed and the job has not completed, review the parameters you have entered.  If they are correct and the job still has not run, contact the Computing Services Help Desk at 696-3200.
