Posting Events to the Calendar
The events shown on the Marshall University Calendar are dynamically generated from the Web Calendar folder of the Exchange server. In order to post an event, users must be a faculty or staff member, have a valid Exchange server account and be using the Windows version of Microsoft Outlook. Exchange server accounts can be requested from Computing Services.

Events can also be submitted to calendar@marshall.edu, but these events must be added manually. Thus there may be some delay between the time the event is submitted and the time it appears on the calendar. When submitting an event please include the event title, a description of the event and if applicable the start/end time and the location.

Posting Instructions
The following are instructions on posting a new event to the calendar.

1. Requesting Permission to the Web Calendar

  • E-mail webmaster@marshall.edu to request permission to post events to the web calendar. Only authorized accounts can post events to the calendar.

2. Opening the Web Calendar folder

  • In Outlook:
    Click File->Open->Other User's Folder
  • Type webcalendar in the box labeled Name
  • Select Calendar from the drop-down box labeled Folder
  • Click OK

3. Posting Events

  • Select the day and month for the event

  • Click File-New->Appointment

  • Enter the title of the event in the box labeled Subject
    (Example: Fall Break - Classes Dismissed)

  • Enter the location of the event in the box labeled Location (optional)

  • One Day Event with Start and End Time
    (an event that occurs one day only during a specific timeframe. Example. A guest speaker appearing on campus on Jan 1 from 8:00pm - 10:00pm)

    Enter the Start Time and End Time including the date and the time

    One Day Event with Start Time Only
    (an event that occurs one day only during a specific timeframe. Example. A guest speaker appearing on campus on Jan 1 at 8:00pm)

    Enter the Start Time and End Time including the date and the time as the same time. In the above example, both the start and end time would be January 1 at 8:00pm


    All Day Event with no Start Time or End Time:

    (an event that takes place all day with no specific start time or end time. Example: Christmas Day)
    Click All Day Event
    Enter the Start Time and End Time dates


    Multiple Day Event with a Start Time and End Time
    (an event that takes place over several days in a row with a specific start time and end time. Example: Registration for classes from 8:00am - 4:30pm from Jan 1 until Jan 8.)

    Enter the Start Time and End Time including the dates and the times. This is the same as a one day event except that the end time will be on a different day than the start time.


    Multiple Day Event with no Start Time and End Time
    (an event that takes place over several days in a row with no specific start time and end time. Example: Fall Break)

    Click All Day Event
    Enter the Start Time and End Time dates This is the same as a all day event except that the end time will be on a different day than the start time.


  • Enter the description of the event in the large white box towards the bottom of the appointment screen

  • Click Save and Close

After posting an event you should check to make sure that the event is listed correctly. Return to the Calendar and view the day(s) of the event. If there is a problem with the event, you will need to edit the appointment in the Web Calendar.

Editing Instructions
The following are instructions on editing an existing event. Note: You may only edit events that you have created. You cannot edit events posted by another user.

1. Opening the Web Calendar

  • See Step 2 in the Posting Instructions above

2. Editing the Event

  • Select the day and month for the event. If the event occurs over multiple days, select the first day.

  • Double click the event

  • Edit the event

  • Click Save and Close
