Auditorium and Presentation Room Policy

Regulations for Use of Marshall University Drinko Library Facilities

Auditorium DL 402, Presentation Rooms DL 138 and DL 349 and Conference Rooms DL 426, DL 439 and the Atrium

  1. The scheduling party will take the facility in the condition, in which he/she finds it, and in the event it is necessary to remove or relocate any equipment or fixtures, such changes will be at the scheduling party’s expense. The scheduling party will replace all equipment and fixtures in the original location and condition in which they were found. No changes or alterations will be made without prior written approval of the Drinko Facilities Manager.
  2. Neither Marshall University nor the West Virginia Board of Trustees shall be responsible for any loss or damage to machinery, equipment paraphernalia, media, exhibit materials, musical instruments or any other property of the scheduling party, caused by theft, fire, acts of God or any other cause of whatsoever nature or kind.
  3. Marshall University and the West Virginia Board of Trustees are absolved from any and all liability or expense arising out of use of any composition, work or material covered by contract. Execution of a Rental/Lease Agreement does not constitute any partnership agreement with Marshall University.
  4. No engines, motors, or other machinery shall be erected on the premises without prior written approval of the Drinko Facilities Manager. Use of gas, flammable substances and charcoal is forbidden.
  5. No signs, material or equipment may be attached to any facility in a manner damaging to the facility.
  6. The number of participants and spectators at an event will not be permitted to exceed the established capacities. System of entry, seating method, and production staging shall be at the discretion of the Drinko Facilities Manager.
  7. The scheduling party will furnish in writing any information requested by the Information Technology Office to determine facility, arrangements, and special services or equipment necessary for proper management of the scheduled event.
  8. Programs lasting one and one half (11/2) hours or more require an intermission of not less than ten (10) minutes unless prior written approval is obtained from the Drinko Facilities Manager.
  9. Facilities will be open to the public no more than one half (1/2) hour prior to the event.
  10. Publicity and advertisements for events charging admission must state total admission prices, including applicable tax, if any.
  11. Events shall be paid in full prior to the scheduled event. All other charges will be invoiced immediately following the event.
  12. All contractual agreements and proof of insurance must be filed with the Drinko Facilities Manager ten (10) days prior to a scheduled event. Alterations in the agreement after this deadline must be approved by the Drinko Facilities Manager.
  13. Technical arrangements for presentations, two-way video or video conferencing events should be made directly with the Drinko Facilities Manager. The Drinko Facilities Manager will coordinate all scheduling with remote facilities. The scheduling party is responsible for any cost either direct or indirect. Arrangements for off campus, student sponsored events and other campus events should be made with the Information Technology Office.
  14. The Drinko Facilities Manager will assign support personnel for each event after consultation with the scheduling party. The scheduling party will be billed for all personnel charges at the wage for each employee assigned to the event.
  15. If food or beverages are served during any meeting or event, they must be ordered through Sodexo. This is due to Marshall University’s contract with Sodexo. The person requesting the reservation must contact Sodexo to arrange for the delivery and removal of all food and beverages and food/beverage service equipment.
  16. If alcohol is to be served at any meeting or event, the person requesting the event must contact Facilities Scheduling to fill out the required paperwork and to hire the required security personnel to police their event.
  17. If additional tables or chairs are needed for a meeting or event, the person requesting the reservation must contact Physical Plant to arrange for the delivery, setup and removal of tables and chairs.
