Information to Gather Before Entering Course Schedules

Course delivery mode: Determine whether the course is Asynchronous Online, Synchronous Online, Synchronous Choice, Blended, or HyFlex. Review definitions on the Course Delivery Modes page.

Entering a New Course in SSASECT

Accessing SSASECT

  1. Navigate to the SSASECT page.
  2. Enter the appropriate dummy term:
    • Fall Dummy Term: 911111
    • Spring Dummy Term: 222222
    • Summer 2023 Dummy Term: 333333
  3. Press Tab to move to the CRN (Course Reference Number) field.
  4. Type ADD in the CRN field.
  5. Press Alt + Page Down or select Go in the upper right.
  6. You are now on the Course Section Information tab.

Course Section Information Fields

Field Action

Course Subject

Enter subject code. Example: ENG

Course Number

Enter course number. Example: 201. Press Tab to auto-populate the course title.

Course Title

Never change an existing course title. Title changes require full approval from Faculty Senate/Graduate Council and the University President. Only the following may have titles changed: Special Topics, Seminars, and Staff Development Courses.

Section Number

Type over the default 0. Enter sections in order by start time. See section number patterns in the table below.

Cross List

Leave blank.

Campus

Enter campus code. This affects tuition and fees.

  • 1: Student on Huntington Campus
  • 2: Student Off Campus (MOVC, etc.)
  • 3: Student on South Charleston Campus
  • E: Electronic Courses
  • H: HEPC – WVROCKS

Status

Enter A (Active) for all sections.

Schedule Type

Press F9 or select “…” to choose a valid schedule type. Note: I – Internet Delivery is used for Asynchronous, Synchronous Online/Choice, Blended, and HyFlex courses.

Instructional Method

Leave blank.

Integration Partner

Leave blank.

Grade Mode

Leave blank.

Session

Select the time-of-day session. Use I – Internet for Asynchronous, Synchronous Online/Choice, Blended, or HyFlex courses. See session codes in the table below.

Special Approval

Leave blank.

Part of Term

In the Class Type section, move to Part of Term and enter the appropriate code. Dates auto-populate.
Fall and Spring:

  • 1: Full term
  • 2: First 8 Weeks
  • 3: Second 8 Weeks

Summer (consult the academic calendar for specific dates):

  • 5: Part of Term A (formerly Intersession)
  • 6: Part of Term B (formerly Summer I)
  • 7: Part of Term C (formerly Summer II)
  • 8: Part of Term D (formerly Summer III)

Credit Hours

Do not change credit hours. Exceptions: May be changed only for Special Topics, Seminars, and Staff Development Courses.

Class Indicators

Scroll to the bottom of the page.

  • Print: If unchecked, the course will not display in the online schedule in myMU.
  • Gradable: Always leave checked.
  • Voice Response/Self-Service Available: If unchecked, the course will not display in the online schedule in myMU.

Save

Click Save or press F10. A dummy CRN is generated — record it later for reference.

Section Enrollment Information

Click the Enrollment Information tab, then the Enrollment Details sub-tab.

  1. Maximum Enrollment: Enter the maximum enrollment for the course.
  2. Permission courses with zero enrollment: If enrollment is set to zero, students cannot register through myMU.
  3. Zero-enrollment courses needing a room: On Enrollment Details, enter a number in the Projected field only; leave Maximum blank.
  4. Click Save or press F10.

Second tab of SSASECT is now complete.

Meeting Times and Instructor

Click the Meeting Times and Instructor tab.

Meeting Times

  1. With the cursor in Meeting Time, press Tab twice to auto-populate term dates.
  2. Select the checkboxes for the days the class meets.
  3. Enter class times using 24-hour (military) time. Example: 6:30 p.m. = 1830, 9:00 a.m. = 0900.
  4. MW-only classes must begin at 1:00 p.m. (1300) or later. Earlier start times must follow MWF time slots.
  5. Never enter a class with times but no days.

Use SLABQRY (F9 or “…”) to find valid codes

Enter if known

Query by campus code: 2 = Off-campus, 3 = South Charleston. Always enter a building code even if room is unknown.

Note: Only enter building and room if your department has first priority on specialized rooms. Otherwise, leave blank so the Registrar can assign a room.

Hours per Week: If no building code is entered, enter Hours per Week (e.g., 3 for a 3-hour course).

Room Conflicts: If cross-listed or dual-listed courses share a room and time, a room conflict will appear. Enter O in the Override Indicator field to override the conflict. Verify that no other course is legitimately scheduled in that room at that time.

Assigning an Instructor

  1. Click Save or press F10 and ensure no error appears.
  2. In the ID field, enter the instructor’s MU ID (no spaces or dashes).
  3. If an instructor conflict appears (same day/time), review the schedule via SIAASGQ – Query Faculty Schedule from Related.
  4. If the conflict is expected (e.g., 400/500 split course), check the Override Indicator box and save.

Use Insert or the down arrow to add additional rows.

Two instructors sharing the course

Percent of Responsibility defaults to 100%. Adjust — example: 51% (primary), 49% (secondary).

Three instructors sharing the course

Example: 34%, 33%, 33%.

Digits entered in Section Indicator by mistake

Replace 01 and then enter the MU ID.

Third tab of SSASECT is now complete. Skip the fourth tab (Section Preferences).

  2. Click Go or press Alt + Page Down.
  3. Enter Section Text exactly as in a prior semester or as specified below.

Do not include http:// in URLs. You may copy/paste from the official text to preserve spacing and wording.
