Interlibrary Loan Library Lending makes materials available from the Marshall University Libraries to Non-OCLC academic, public, government, and non-profit libraries in West Virginia.

  • ILL is a system for requesting, tracking, and receiving electronic and traditional items from lending libraries around the globe.
  • Items that can be requested include articles, books, book chapters, conference papers, music recordings, music scores, DVDs, and theses.
  • It also includes MU Doc. Express, where faculty can request electronic delivery of articles owned by Marshall University (fees apply, see ILL request form for more details).
  • Certain items may be difficult to obtain depending on publication date or item type (best-selling/recently published/rare items, etc.).
  • Marshall University students, distance students, faculty, and staff can request items from ILL.
  • If you don’t pick up the item(s) (books, bound conference proceedings, dissertations, etc.) by the due date there is a charge of $5 for each item.
  • Overdue fine is $1 per day and the maximum charge is $50.
  • Rebinding for a damaged item is $25.
  • Lost item charge is $25 (processing fee) plus whatever charge is in the invoice of the sending library.
  • Rush document delivery for faculty is $2 per article for the first 10 requests in a semester. After 10 requests the cost is $10 per article.

  • Enter your name, address, and other personal information into the system only once, at the
    time of your first request.
  • Your request will be handled more rapidly and accurately as problems relating to
    misinterpretation of hand-written requests are eliminated.
  • You can get many of your photocopies more quickly through Electronic
    Delivery.
  • You can get information about the status of your request through the Web at any time
    from any location without having to call the ILL Department.
  • Library personnel are able to serve you better because all data about your request and
    its handling is stored in a searchable database. We are able to respond quickly to your
    inquiries about your request. We are also able to gather statistical information about the
    performance of the libraries that lend to us, enabling us to make better decisions when
    choosing a lender to supply an item.

Remember: Passwords are case sensitive.

Yes. Web browsers cache information and create a history file on the local workstation. This allows a subsequent user of the workstation to access the system under your name using the browser’s Back button to recall a page from the cache, or by finding a page with your personal information in the browser’s history file. If you are concerned about the security of your interlibrary loan requests, you can take the following steps:

  • 1) Access Interlibrary Loan only from your personal computer or an otherwise secure workstation.
  • 2) Access Interlibrary Loan from a public workstation in the Interlibrary Loan office in the library. These computers are supervised by the library staff.
  • 3) When using a public access workstation:
    • Delete from the history file those pages that contain your personal information.
    • Exit from the Web browser before you leave the workstation. This prevents the Back button from accessing the pages you were using.
  • Login at the single sign-on screen using your MUNet ID and password.

  • When you encounter an article which we do not own, and wish to request it through ILL/IDS simply click on “Send to:” in the upper right corner.
  • Choose Order, and then click the button, “Order Articles”.
  • This should take you to the ILL/IDS login webpage.
  • Simply login to ILL (or create an account).
  • The article request form will be prefilled. Simply click on the “Submit” button at the bottom of the page.

  • If you have entered an incorrect username or password. Passwords are case sensitive. Check the caps lock – did you have the caps lock on when you registered to use the Interlibrary Loan System?

  • The borrowing period for ILL requests varies depending largely on the item type (is it newly published? Is it a rare material?), as well as the lending library (they decide what the time period will be, not us).
  • Whether or not renewals are allowed for ILL items depends on the lending library.
  • If an item is overdue, the fines are $1 per day per item.
  • If a book is requested but never picked up, the fee is $5.
  • If a book is returned without the Removable Labels (and any paperwork from lending library), the fee is $1.
  • You will receive emails when your item is ready to be picked up or ready to be downloaded to your ILL account.
  • Shipment and delivery of ILL books vary largely based on the location of the lending library.
  • Delivery can take anywhere between 5-15 business days, but may take longer depending on the item type (is it rare? Is it new? Etc.).

Distance Student Policies

Distant students can request books owned by Marshall Libraries and have them mailed to their home address. Loans requested by outside lending libraries cannot be mailed to distant students. When requesting items owned by Marshall Libraries you are responsible for return mailing costs. Need more information about services to distance students? Since E-Z Borrow delivers requested items to either the Drinko or MUGC libraries, distance students are not eligible to use E-Z Borrow.

Who Is A Distance Student?

  • You are not considered a distance student if you attend at least one class that meets on the Huntington campus.
  • You are therefore not eligible for “mail to” delivery of items. You are expected to pick up items ordered through IDS at the Circulation Desk in Drinko Library.
  • Who is considered a distance student?
    For the purposes of IDS (Information Delivery Services), the status “Distance Student” is to be selected only if:
  • 1) You are enrolled in classes that do not meet on the Huntington campus
    • a) For example, classes held off-campus at MOVC, Teays Valley, Logan, Williamson, Gilbert, or other sites.
    • b) Dual enrollment and military programs
    • c) 100% online
  • 2) AND you are not an MUSC student.
  • If you are a Distance Student: You can request books and have them mailed to your home address. You are responsible for return mailing costs.
  • Approximately 99% of all articles requested are available electronically for download (the other 1% are mailed to you).

  • If you lost an item that you received via ILL, the charge is $25 (processing fee) plus the invoiced charge from the lending library.
  • Login at the single sign-on screen using your MUNet ID and password.
  • Press the button “View/Modify Outstanding Requests” to display your active requests.
  • Select the request that you wish to cancel by pressing the appropriate transaction number button at the left of the page. You will then see detailed information about that request.
  • Press the “Cancel Request” button in the top right hand corner of the page. This will automatically cancel the request.
  • The Main Menu will then reappear displaying a message confirming the cancellation of your request.
  • You can resubmit cancelled requests from the “View/Resubmit Cancelled Requests” button.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.

  • Login at the single sign-on screen using your MUNet ID and password.
  • Press the button “View/Modify Outstanding Requests” to display your active requests.
  • Select the request you wish to edit by pressing the appropriate transaction number button at the left of the page. You will then see detailed information about that request.
  • The request can be edited as long as the status of the request has not passed the status of “Request Sent” (this can be determined by checking the status of the item at the bottom of the page. See IDS Express Processes Flowchart.
  • Press the button “Edit Request” at the top right hand corner of the page to open a request form. To edit the request, enter the additional information in the appropriate fields.
  • Press the button “Submit Request” at the bottom of the page.
  • The Main Menu will then reappear displaying a message confirming that your request has been updated successfully.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.

We can deliver electronically articles that are sent to us in an electronic format. We post these articles on your IDS Express account. From there you can access these articles for 30 days.

How to sign up for electronic delivery:

  • Login at the single sign-on screen using your MUNet ID and password.
  • Press the button ” Change User Information” towards the bottom of the page.
  • Answer “Yes” to the question “Preferred Electronic Delivery if Possible (via web through IDS Express?).”
  • When you are finished using IDS Express, Please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.
  • Login at the single sign-on screen using your MUNet ID and password.
  • Press the button “View/Download Electronically Delivered Articles.” This will display all the requests that you have available via electronic delivery.
  • Find the request you want to save. Right click on the transaction number button of the request.
  • Choose “Save Target As.”
  • Specify where you want the articles saved.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.
  • Login at the single sign-on screen using your MUNet ID and password.
  • Press the button “Checked Out Items” to display everything checked out to your username.
  • Select the item that you wish to renew by pressing the appropriate transaction number button to the left. You will then see detailed information about that request.
  • Check to see if renewals are allowed (there is a question towards the bottom of the page “Renewals Allowed?”). If renewals are allowed, press the button “Request Renewal” at the top right hand corner of the screen. If renewals are not allowed, please return the book as soon as possible to prevent receiving overdue letters.
  • After renewing a request, you will be notified that “This item has been renewed for another 2 weeks. There can be no further renewals.”
  • Once the item has been renewed the due date will automatically reflect the two week renewal and the “Renewals Allowed?” answer will change to “no”.
  • Then “Return to the List” where you may view/renew other items checked out to your username. You may also choose to “Exit to the Main Menu”.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.
  • Outstanding Request(s) are requests still in process. They do not include items that are checked out, cancelled, or articles that you have already received.
  • Logon to Interlibrary Loan using your username and password.
  • Press the button “View/Modify Outstanding Requests” . Selecting the appropriate transactions number button for the request to display a detailed information page.
  • View/Modify Outstanding Requests — Use this button to view, edit, or cancel those requests that are still in process.
  • Checked Out Items — Use this button to view or renew item checked out to your username.
  • View Request History — Use this button to see all your completed requests. Completed requests are photocopies you have already received and loans you have returned.
  • View/Resubmit Cancelled Requests — Use this button to view or resubmit any request that has been cancelled either by Interlibrary Loan staff or you.
  • If you have trouble locating a request please contact the Information Delivery Services office at 696-4011.

  • From here you may edit the request by changing information or providing additional information. See the panel “Editing Requests” here.
  • You may also check the status of a request by selecting the appropriate transaction number button and scrolling to the bottom of the page.
  • “Return to the Main Menu” for further transactions.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.
  • Requests received electronically are posted here for you to view and download.
  • Requests stay here for a month from when the article is received.
  • To sign up for this feature go to change user information. Then change the answer to the question “Preferred Electronic Delivery if Possible?” to yes. You will then be able to view electronically received articles through your Interlibrary Loan account.
  • Login at the single sign-on screen using your MUNet ID and password.
  • Press the button “Checked Out Items” to view all the requests checked out to your username.
  • Select the appropriate transaction number button for the request you wish to view/renew. You will then see detailed information about that request.
  • You can check the due date or see if renewals are allowed (see the “Renewals Allowed?” question).
  • To place a renewal request see the panel here called “Renewing an Item”.
  • Return to the Main Menu” for further transactions.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.

  • Login at the single sign-on screen using your MUNet ID and password.
  • Press the button “View Request History” to view all the requests that have been completed (photocopies that have been received and loans that have been returned) using IDS Express.
  • Select the appropriate transaction number button for the request you want to view. You will then see detailed information about that request.
  • This function helps you avoid submitting duplicate requests. It also gives you a list of all the items you have obtained through Interlibrary Loan.
  • Return to the Main Menu” for further transactions.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.
  • From time to time we purge older records from Interlibrary Loan. Our policy is to keep requests online for 3-5 years order to comply with record keeping requirements of the copyright law.
  • Login at the single sign-on screen using your MUNet ID and password.
  • Press the button “View/Resubmit Cancelled Requests” to view all the requests that have been cancelled.
  • Select the appropriate transaction number button for the request you wish to view/resubmit. You will then see detailed information about that request providing the reason for cancellation.
  • You can resubmit the cancelled request by selecting the button “Resubmit Request” at the top right-hand corner of the screen. (You should only resubmit the request if you have more information about the item, were asked to retry within a certain time frame, or have had a search done through circulation on an item we own and it has been declared missing.)
  • A request form will open with the request’s previous information. Edit what is necessary, then click the button “Submit Request” at the bottom of the page.
  • The Main Menu will then reappear displaying a message confirming that your request has been updated successfully.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.
  • To check the status of a request, logon to IDS Express using your username and password.
  • Press the “View/Modify Outstanding Requests” button to view all the requests still in process on Interlibrary Loan.
  • Select the appropriate transaction number button for the request you wish to check the status for. You will then see detailed information.
  • Scroll to the bottom of the page.
  • When you are finished using Interlibrary Loan, please exit by pressing the button labeled “Exit IDS Express System” at the top of the Main Menu.

  • For textbooks not owned by the Marshall University Libraries you may try EZ-Borrow. Unfortunately due to National Interlibrary Loan policies we are unable to order current textbooks through our Interlibrary Loan Department (ILL). Any request submitted through ILL for textbooks will be cancelled.

  • No library–even the largest ones–can hope to acquire all the materials published. If you need an item not in Marshall University’s Libraries, we will try to obtain a copy or a loan of the item for you from another library or information provider through Interlibrary loan (ILL) and Document Delivery (DD). The University Libraries follow local, national, and international codes for inter-library and document delivery services.

Loans are generally available for:

  • Books
  • Conference proceedings
  • Reels of microfilm

Photocopies are generally available for:

  • Journal or magazine articles
  • Newspaper articles
  • Chapters in books

The following materials may be obtained only at the discretion of the lending library:

  • Theses and dissertations
  • Videocassettes and audio-visual materials
  • Best selling books
  • Recently published books (6 months to one year)

National Interlibrary Loan Policy prohibits the borrowing and lending of:

  • Textbooks for current classes
  • Reference books
  • Genealogical materials
  • Rare items
  • Entire issues of journals or magazines

We do not place books from other libraries on reserve in our libraries. A request to purchase should be sent to the Collection Development Librarian at perry5@marshall.edu.

  • Before making a request, please check our:
    • Library Catalog
    • Journals Search
    • And other local sources
  • To be sure we don’t have the item you are requesting, or other items that can fill your need. Feel free to ask the librarian for assistance.
  • The online form must be filled out completely and legibly, with no abbreviations. Incorrect or incomplete forms will delay your request.
  • You will be notified by email or phone when the item arrives, and whether there are charges.
  • Items can be picked up at the Circulation Desk.
  • Photocopies become your property; they do not need to be returned.
  • The lending library sets the return date for other material.
  • Renewals are at their discretion; please request renewals through the Interlibrary Loan before the original due date.
  • The lending library may impose restrictions on the material, such as in-library-use-only or no photocopying.
  • You are responsible for the safe return of borrowed material to the Circulation Desk or Interlibrary Loan office. If material is lost or damaged you will be liable for whatever charges the lender makes.

Information Delivery Services – ILL Borrowing charges to Marshall Users:

  • No charge for loans of books, bound conference proceedings, dissertations, etc.
  • $.10 per page for any photocopied materials.
  • No charge for electronic delivery
  • Non Pick-up fee = after due date, $5.00 for each loan item; after 30 days, $5.00 for each article.
  • Rush document delivery = $2.00 charge per article for the first 10 requests by a patron each semester. After 10 requests by that patron: $10.00 charge per article.
  • MU Document Express: scan or photocopy Marshall Periodical articles (faculty and MUGC students only): $2.00 for each article.
  • MU Document Express: scan or photocopy Marshall Periodical articles: no charge for distance students.
  • Overdue fine = $1.00 per day, maxim is $50.00
  • Rebinding for damaged item = $25.00
  • Lost item = $25.00 (processing fee) plus invoice charges of sending library

In-State

  • Loans = no charge
  • Photocopies = $5.00 IFM or Invoiced

Out of State Libraries

  • Loans = $15.00 IFM or $17.00 invoiced
  • Photocopies = $15.00 IFM or $17.00 invoiced

Corporate/For-Profit Libraries

  • Loans = $30 IFM or Invoiced
  • Photocopies = $30.00 for pages 1-25 and $0.20 for each additional page

International

  • Loans = $30.00 IFM Invoiced + postage
  • Photocopies = $30.00 for pages 1-25 and $0.20 for each additional page + postage

FAX: $5 per request fee, in addition to standard applicable fee

RUSH: $10 per request fee, in addition to standard applicable fee. (for service within 24 hours OR for
commercial delivery service.)

UPS/FedEx: For shipment by UPS, FedEx, etc., borrower must supply account number and pay charges.
